FBO management software · Fueling, front desk, finance
Flight Ops is an aviation-native operations platform for fixed-base operators, flight schools, and charter companies. Every fuel ticket, ramp service, flight, and shop hour lands on the right invoice without being retyped, and the books export to QuickBooks when the month closes.
Integrated modules on one database, from scheduling to the general ledger.
From a walk-up customer to a printed receipt with the receipt creator.
Ticket number on every fuel sale, traceable from the pump meter to the statement.
Retyping into your accounting system. The month-end journal exports in QuickBooks' shape.
The problem
When fuel is logged on one screen, services are called in over the radio, and invoices are built by hand, revenue leaks and premium customers wait.
Verbal service requests and paper fuel logs don't always reach the final invoice. A GPU start or a lav service that never gets billed is money already spent.
Legacy tools ask your CSRs to key the same customer, tail, and price into three places. Every extra screen is time not spent welcoming the passenger.
Reconciling contract fuel accounts, card payments, and prepaid balances by hand delays cash flow and hides pricing mistakes until the books are closed.
The platform
Flight Ops is built around the way an FBO actually runs a day: the aircraft, the account, and the invoice stay attached to each other from arrival to statement.
Fuel tickets, service requests, and check-in charges flow straight onto the customer's invoice. Additional charges are routed by line of business, so nothing is added twice or missed.
Retail, contract, and government fuel tiers are applied by account, with federal excise and state aviation taxes computed per jurisdiction. Premium accounts are billed correctly every time.
Fuel orders and service requests reach line staff the moment they come in, with the aircraft and account attached. A field status board and bulletins keep everyone on the same page.
The morning day sheet crosses every flight with pilot credential checks and maintenance blocks. An aircraft down for a 100-hour is blocked on the schedule before anyone double-books it.
Account aging, customer statements, and a balanced general-journal export in QuickBooks' import shape, as CSV or Excel. Fuel tickets export with meter readings for the bookkeeper's audit.
Charge accounts with credit limits, prepaid funds, and cards on file, alongside cash, check, and ACH. Customers pay invoices or prepay through hosted card checkout, so card data never touches your screens.
Who it's for
| Role | What you get | What changes |
|---|---|---|
| CSR / Front desk | Three-step receipt creator, point of sale, saved-card charges, and check-in with instructor time and additional charges on one screen. | Customer experience. Focus on the passenger instead of the software, with the invoice already built from the day's activity. |
| Line service | Service and fuel requests with the tail and account attached, numbered fuel tickets with meter readings, and a field status board. | Operational velocity. Faster turns, fewer radio calls, and a ticket trail that answers the bookkeeper's questions without a phone call. |
| Maintenance | Squawks, inspection intervals by hours, cycles, or calendar, work orders that pull parts from stock, and customer-aircraft invoicing. | No surprises on the schedule. Down aircraft are blocked from dispatch automatically and shop hours reach the books without retyping. |
| Flight school / CFI | Curricula, stage checks, lesson records, block time at a locked rate, and pilot credential tracking with FAA vocabulary seeded out of the box. | Dispatch you can defend. Expired medicals, flight reviews, and missing ratings are flagged per person before the flight goes out. |
| Owner / General manager | Account aging, statements, QuickBooks-ready journal exports, and a dedicated cloud environment with your own data and your own domain. | Margin control. Tier pricing and taxes applied by account, and every gallon and service captured on an invoice. |
